What should I do if my laptop won’t connect to the rented projector?

First check that the video cable is securely connected and the projector input is set to the correct source (HDMI, VGA, etc.). Restart your laptop while everything is connected.

On Windows, press Windows Key + P and choose Duplicate or Extend display mode.

On Apple devices, disconnect and reconnect any adapters at the computer end first. Ensure the adapter and HDMI cable are properly connected before turning the device back on.


How do I stop microphone feedback (squealing) during a speech?

Microphone feedback is usually caused by the microphone picking up sound from the speakers.

To reduce feedback:

  • Lower the microphone volume slightly
  • Move the speaker system in front of the presenter so the microphone is behind the speakers
  • Adjust the sound system equaliser to reduce problem frequencies

Professional systems can also use feedback elimination processors to prevent squealing.


Can I run a sound system from a portable generator for an outdoor event?

Yes, but you should use an inverter generator. These generators produce stable power that is safer for electronic equipment.

Avoid running the generator out of fuel, as this can cause a voltage drop (brown-out) that may damage AV equipment. Always ensure the generator has enough kilowatt capacity to handle the total load of the sound system and other equipment.


Do I need an adapter to connect a Mac or iPhone to a projector or TV?

Some Apple devices have a built-in HDMI port, but many require an adapter.

Most modern Apple devices use USB-C (Thunderbolt) to HDMI adapters to connect to projectors or screens. Older Apple devices may require different adapters.

We stock common Apple adapters, so just let us know when collecting your equipment.


Planning Your Event

How many speakers do I need for a crowd of 100 people?

For a typical hall or function room, two speakers are usually ideal for clear speech and background music for up to around 100 people.

Larger rooms or outdoor events may require additional speakers to maintain even sound coverage.


What projector brightness (lumens) do I need for a bright room?

No projector performs well in direct sunlight. However, brightness requirements depend on room lighting.

  • 4800 lumens works well for most indoor presentations
  • 6000 lumens or higher is recommended for bright rooms or important presentations

For marquees or outdoor events, a large TV or LED video wall often provides better visibility than a projector.


Is a 6-metre screen suitable for a normal room?

Usually not. A standard ceiling height is around 2.4 metres, while a 6-metre projection screen can be around 3 metres high.

For most meeting rooms or classrooms, a 1.5 m or 1.8 m tripod screen works best. Larger screens are better suited to venues with higher ceilings.


Should I use a lapel microphone or a handheld microphone for Q&A sessions?

For audience Q&A sessions, a handheld wireless microphone is usually the best option.

Handheld microphones are easier for inexperienced users and ensure the microphone is positioned correctly. Models with condenser capsules are especially good for clear speech.

Is it cheaper to pick up equipment (dry hire) or arrange delivery and setup?

Pickup (dry hire) can be cheaper if you are comfortable setting up the equipment yourself.

However, incorrect setup can lead to technical issues or equipment damage. Delivery and setup ensures everything is installed correctly and ready to use.


Does the hire include technical support during the event?

Yes. We support all equipment hired from Any Audio Visual Ltd.

For important events where everything must run smoothly, we strongly recommend booking an on-site technician.


How long does it take to set up a PA system and projector?

Setup time depends on the equipment size and complexity.

Typical setup times:

  • Simple systems: about 30 minutes
  • Larger setups: up to 1 hour or more

An experienced technician can usually set up equipment quickly and efficiently.


Do you offer discounts for multi-day hires?

Yes. We often provide reduced rates for multi-day hires, such as conferences or weekend events.

Can your equipment support hybrid meetings (Zoom or Microsoft Teams)?

Yes. Our systems can support hybrid meetings with professional audio, cameras, and streaming equipment.

For larger events we recommend an experienced technician to manage the live stream and audio mixing.


Do you offer battery-powered speakers for locations without mains power?

Yes. We have several battery-powered PA systems suitable for outdoor events or locations without power, including portable units like the Road Buddy system.


Can I play music from my phone via Bluetooth?

Yes. Many of our sound systems support Bluetooth audio streaming.

Bluetooth typically works within 10 metres, depending on the environment.


Is your lighting suitable for video or live streaming?

Yes. Professional lighting can be configured to be camera-friendly and flicker-free.

Flicker usually occurs when camera frame rates and lighting refresh rates do not match. Our equipment and cameras can be adjusted to avoid this issue.
